Description

The Office Manager is responsible for coordinating and supervising the administrative and operational activities of an office. Their primary function is to ensure the efficient and organized functioning of the work environment, as well as to support resource management and continuous improvement of internal processes. 

Responsibilities 
The Office Manager's responsibilities include the following: 
  • Office management:
    • Order and care of the office
    • Management of the candy bar
    • Management of employee requests
    • Coordination of customer/employee arrangements
    • Reception and visitor assistance
    • Daily lunch management
    • Secretarial duties
    • Coordination of general office maintenance
    • Management of technology maintenance
    • Reception, classification, and distribution of correspondence
    • Management of logistics and preparation of meetings and/or conferences
  • Event management:
    • Organization, planning, and management of internal and external events
    • Coordination and collaboration of corporate travel
  • Administration:
    • Management and execution of general purchases
    • Management of requests for technology purchases
    • Management of general inventory of supplies, equipment, and work items
    • Loading of invoices and/or receipts into management systems
    • Management and execution of payments, deposits, and transfers
    • Management of payments: services, taxes, social security, suppliers
    • Bank management
    • Management of normal office services
    • Management and review of insurance
    • Management of keys
    • Management of calendar for payments, payment plans
    • Cash management
    • Management of digital and physical archives
    • Economic/financial reports
    • Invoicing to customers
  • Communication:
    • Coordination with the communications department
    • Reporting of news
  • Human resources:
    • Delivery and shipment of work items to employees
    • Management of gifts for HR actions
    • Collaboration in the onboarding process
    • Fostering a positive and collaborative work environment

Requirements

Work experience
Minimum of 1 year of work experience in similar positions, such as receptionist, executive secretary, customer service representative, administrative analyst, office assistant, and related positions.

Education
Completed or advanced tertiary/university studies in fields such as Economics, Human Resources, etc. Secondary education is valued.

Languages
Intermediate/advanced English is valued.

Other
Management of management systems is valued.
